Your Opportunity
As the Project SMART360 Administration Assistant, you will be responsible for:
- Supporting the Project Manager and project team to develop, document and manage a complex high-level project and processes for the SAFE at TAFE ICT Solution Project within the Project Management Lifecycle.
- Manage the Project team sites including managing risks and issues registers, managing the coordination of workshops and attendance, updating content and creating registers as well as providing administrative guidance to the project team when required.
This is a Temporary, Full-Time opportunity, to 29 December 2023 unless otherwise determined.
The position will be based primarily at Mount Gravatt however you may be required to perform work at other TAFE Queensland campuses.
Key Responsibilities
- Provide support to the Project Manager and Project SMART360 team members to assist in the implementation of the new SAFE at TAFE ICT Solution for TAFE Queensland.
- Manage and maintain the Project SharePoint team site, the Project Calendar, including creation, maintance and updating of any project Deliverable Logs and assisting with maintaining checklists and collation of project documents and ensure it is recorded and stored appropriately.
- Assist the Project Manager in ensuring compliance of project management methodologies, assist in the maintenance of project schedules, including continual assessment and reporting on projects issues, schedule, resources and requirements, to ensure that projects are implemented within agreed timeframes, quality and budget.
- Assist with completing import templates for various tools required in the new Incident Management System.
- Co-ordinate and assist with the cleansing of rogue data.
- Assist the Project Manager and Project SME with administration activities such as stakeholder scheduling, meeting minutes and facility bookings.
- Support the project team to build positive working relationships with key stakeholders by providing provide high level support.
- Collate project documents and manage record keeping, file sharing and minute taking.
- Collate feedback provided from Regional Champions during meetings, user acceptance testing and training.
- Actively contribute to a culture of innovation, continuous improvement and performance management within the project team.
- Contribute to the success of transformation and cultural change through promotion and modelling the established values of Commerciality, Teamwork, Innovation and Accountability.

The ideal applicant will be someone who has the following key capabilities:

- Well-developed writing skills, including the ability to utilise a range of computer software packages including Microsoft Excel, Outlook, and SharePoint to assist in maintenance of the Project SMART360 intranet pages and the preparation of reports for Business Areas and Working Parties
- High level communication skills and the ability to prepare accurate basic written correspondence, notes and records.
- Ability to work collaboratively and sustain productive relationships with stakeholders and colleagues to achieve project outcomes.
- Effectively support team members and actively contribute to the team's success ensuring the project expectations are met.
- Display the initiative, attitude and ability to thrive within a dynamic, challenging and changing environment.
